How to Scan a Document With Your Phone and Save It as a PDF

A phone can make a readable digital copy of a paper document without a separate scanner. The built-in scanning tools on iPhone and Android can capture pages, straighten their edges, and save them as a PDF.

This guide walks through scanning with Apple Notes on iPhone and Google Drive on Android. App screens can change between versions, but the basic process is similar: capture the page, check the result, and save or share the file.

What you will need

  • A phone with a camera and the Notes app (iPhone) or Google Drive app (Android).
  • The paper document you want to scan.
  • A reasonably bright place to work, with a flat surface and little glare.

Before scanning, check that the page is complete and that you are comfortable storing it in the app you plan to use. Notes may sync through iCloud if that feature is enabled; Google Drive saves scans to your Drive account.

Scan a document on an iPhone

  1. Open Notes. Start a new note or open one where you want to keep the scan.
  2. Choose the scan option. Tap the attachment or camera button, then choose Scan Documents. The button’s appearance and location can vary with the iOS version.
  3. Position the page. Place the document on a flat surface and hold the phone so the whole page is visible. Keep your hand steady and avoid casting a shadow over the text.
  4. Capture the page. Notes may take the scan automatically when it detects the document. If it does not, use the shutter button. For a multi-page document, scan each page before finishing.
  5. Check the edges and text. Adjust the corners if needed so the scan includes the full page and excludes the surrounding surface. Retake a page if the text is blurry, cut off, or hidden by glare.
  6. Save the scan. Tap the option to keep the scan, then save it in the note. The scanned document is attached to that note.
  7. Save or share a PDF if needed. Open the scanned document and use the share button. Choose a destination such as Files, or select a sharing method. Menu names can vary by iOS version.

Scan a document on Android with Google Drive

  1. Open Google Drive. Sign in to the account where you want the scan saved.
  2. Start a scan. Tap the add button, then choose Scan. If prompted, allow Drive to use the camera.
  3. Frame the page. Lay the document flat and hold the phone above it. Make sure the entire page is visible and well lit.
  4. Take the picture. Use the on-screen capture button. Drive may detect the page edges and crop the image automatically.
  5. Review the result. Adjust the crop if necessary. Retake the scan if any words are blurred, shaded, or missing.
  6. Add any remaining pages. For a multi-page document, use the add-page control to scan the next sheet before finishing.
  7. Save the PDF. When the pages look right, tap the save or done control. Give the file a useful name and confirm the save. Drive stores the scan in your account as a PDF.

Make the scan easier to read

  • Use even light. Bright, indirect light helps make text clearer. Move the document or phone to reduce reflections, especially on glossy paper.
  • Keep the page flat. A curled or folded page can create shadows and uneven edges. Smooth it gently if possible.
  • Check every page before sharing. Zoom in on small print and confirm that no page is missing, upside down, or clipped.
  • Choose a clear filename. A name such as “Insurance form – June” is easier to find later than a generic camera-style filename.

Things to know before you share

A scan may contain personal details such as an address, account number, or signature. Check the pages and recipient before sending it. If you are using a shared phone or account, consider where the file will be saved and who can access it. Avoid putting sensitive documents in a shared folder unless that is intentional.

A phone scan is a picture of a page saved in a document file; it does not always make the words searchable or editable. If you need to copy text, look for an optical character recognition feature, which uses software to recognize printed words. Recognition can make mistakes, so check important names, numbers, and dates against the paper original.

Good to know
Google Drive’s Android scanning flow lets you add more pages before saving a multi-page scan as a PDF.

Once you have reviewed the pages and confirmed where the file is stored, you are ready to share or keep the PDF. A steady phone, good light, and a quick final check are usually all it takes to make a useful digital copy.
