How to Scan a Document With Your Phone: iPhone and Android Steps

A phone can make a useful digital copy of a paper document without a separate scanner. This guide walks through scanning with Apple Notes on an iPhone or Google Drive on an Android phone, then explains how to check, save and share the result.

Where it goes
An iPhone Notes scan is kept in a note; a Google Drive scan is saved to the Drive account and folder you select.

A scan is handy for keeping a receipt, sending a signed form or storing a paper you may need later. The exact buttons can vary with your phone and app version, but the basic process is similar: capture the page, adjust its edges and save it.

Before you start

Use a flat, well-lit surface and place the paper on a background that contrasts with its edges. Move loose objects out of the frame, flatten curled pages and avoid bright reflections or shadows. Have the app you plan to use open or ready.

Decide where you want the finished file to live. An iPhone scan made in Notes is saved in a note; a scan made in Google Drive is saved to the Drive account you choose. If you are scanning personal or financial information, check that you are saving it to an account and folder you control.

Scan with Notes on an iPhone

  1. Open Notes. Start a new note or open one where you want to keep the scan.
  2. Choose Scan Documents. Tap the attachment or camera button, then tap “Scan Documents.” The button’s appearance can differ between iOS versions.
  3. Frame the page. Hold the phone over the document and make sure the whole page is visible. Notes may capture it automatically; if it does not, tap the shutter button.
  4. Check the outline. Adjust the corners if the selected edges do not match the paper. Tap “Keep Scan” when the page looks right.
  5. Add pages or finish. Scan additional pages if needed. When you are done, tap “Done” to place the scan in the note.
  6. Review and share if needed. Open the scan in the note to check that it is readable. Use the note’s share controls if you need to send or save it elsewhere, and confirm the recipient before sharing.

If you only need one page, you can stop after that page is captured. For a multi-page document, scan the pages in order and check that none are missing before you send it.

Scan with Google Drive on Android

  1. Open the Google Drive app. Make sure you are signed in to the account where you want the file saved.
  2. Start a scan. Tap the camera or add button and choose “Scan” if it appears in the menu. The precise control can vary by app version.
  3. Capture the document. Position the page in the frame and take the picture. Keep the phone steady while the app captures it.
  4. Adjust the page. Review the crop and move its corners if needed so the scan follows the document’s edges. Use the app’s controls to retake the image if it is blurry or incomplete.
  5. Add more pages if necessary. Use the add-page control to scan the rest of a multi-page document. Check the page order before saving.
  6. Save the file. Tap the save control, choose a file name and folder if prompted, and confirm. Drive saves the scan as a PDF in the account you selected.
  7. Open the saved PDF. Check that every page is present, upright and legible before you share it or rely on it as your copy.

Tips for a clearer scan

  • Give the page room. Keep all four edges visible in the camera view. A little space around the paper makes it easier to check the crop.
  • Watch for glare. Glossy paper and overhead lights can create bright spots that hide words. Shift the document or your position rather than accepting a scan with unreadable areas.
  • Check small print. Open the saved scan and zoom in on dates, totals, names and signatures. A page can look fine in the camera preview but be difficult to read when enlarged.
  • Use a useful file name. A short name that includes the document type and date can make it easier to find later. Avoid putting sensitive details, such as a full account number, in the name.
  • Be careful with sharing. Before sending a file, check the recipient and any sharing settings. A scan may contain addresses, signatures or other personal information.

If something goes wrong

If the page looks cut off, blurry or shadowed, retake it before putting the paper away. If you cannot find a scan, check the note where you created it or the Drive account and folder you selected. If the app’s buttons do not match these steps, look for a scan option in its camera or add menu; app layouts can change.

With a steady phone, clear light and a quick review, you can make a usable digital copy in a few minutes. Take a moment to confirm the pages and save location, and your scan will be easier to find when you need it.
